Do you perform standard operations on a daily basis? Do you have a lot of administrative work to do? Or do you manually type data into your systems? This can be done faster and more accurately through Robotic Process Automation (RPA). RPA is the technology in which computer software automates business processes that are repetitive, rule-based and structured. Many financial organizations are already adopting this technology, but its popularity in other sectors is also growing. On the other hand, we also see that organizations find it difficult to assess whether a business process is suitable for RPA application or what the expected benefits and costs are. In this insight, we briefly take you through the factors that determine whether RPA can be successfully applied to one or more of your processes.<\/strong><\/p>\n

Input data<\/h4>\n

The chances of a successful RPA deployment are highest when your input data is already digital and structured. This means that the data required for your process is provided or available digitally or at least in a predictable format. This is because a robot works according to pre-programmed rules, for example, if the value of X is greater than 500 then fill field Y in system Z with “yes. If you do not receive your data digitally, we recommend digitizing your input before starting RPA. Solutions for this range from scanning paper mail to creating a portal where data is entered by your customers or a third party. If the input is not even structured, you can consider, as a low-threshold solution, designing forms or questionnaires and asking the submitting parties to use them.<\/p>\n

Process and application stability<\/h4>\n

In addition, process and application stability is an important factor that comes into play. A software robot works according to fixed rules and cannot deal with undefined exceptions or unpredictable scenarios. Also, every time the process changes, its automated version must be updated. Many of the current solutions can ‘learn’, based on experience with new input, but this still requires supervision by your people. This form of RPA, which requires human action to run the robot, is also known as attended RPA. In the other form of RPA, unattended RPA, as the name implies, no human action is required for the robot to work. In the download, we will take you further into these two forms of RPA.<\/p>\n

An RPA solution is at all times related to one or more applications that support the process. In any case, if any of these applications change, the impact on the RPA solution must be determined. Therefore, it is good to think in advance if you expect your process or applications to undergo major changes in the next six months. For example, consider a change in legislation or organizational change. In that case, it is advisable to coordinate these changes in terms of timing as much as possible and postpone the implementation of a software robot until after the changes. This way, you can immediately set up the software robot for the new situation and get maximum benefit from the investment in RPA.<\/p>\n

Process complexity<\/h4>\n

Finally, it is important to consider the complexity of your process. How many steps does your process consist of, how many decision points does your process have, and how many different applications does your process use? The more steps, decision points and applications your process has, the more complex the automation. This assessment of complexity is particularly important in determining whether the benefits outweigh the investment.<\/p>\n

Digitizing data<\/h4>\n

Do you still receive application forms on paper or as documents via email, or do you type data from one system into another? A robot can read these forms and data and automatically enter them into the intended system. This way, you have up-to-date data in your systems, efficiently, error-free and without waiting times.<\/p>\n

Scheduling appointments<\/h4>\n

A robot is also great for scheduling appointments. A good example is scheduling patient appointments. A robot can collect various data, such as patient information, the type of appointment request, location preference and insurance information. The robot is given a clear set of “business rules” based on which the robot can make the decisions to schedule the appointment. In this way, patient appointments can be scheduled more efficiently and quickly, but according to your guidelines.<\/p>\n

Onboarding of employees<\/h4>\n

The “onboarding” of new employees often follows an established process. A robot can ensure that new employees get all the information they need to meet organizational guidelines. Moreover, from a scanned ID card and, as mentioned above, completed forms or even a resume, a robot can put all the necessary data into the right systems.<\/p>\n

Combining data<\/h4>\n

A robot is also useful for combining different data from various sources. A good example is the call center. In order for the call center agent to work efficiently, all the necessary information about a customer is consolidated on one screen, so that the call center agent sees all the information at a glance and does not have to search in various systems. Changing this data often requires updating multiple systems; in this, RPA can take a lot of work off the call center agent’s hands.<\/p>\n

Standard reports<\/h4>\n

Many organizations create monthly recurring reports with standard data, think business data and budgets. The automatic retrieval of this data by a robot from the right sources and filling in the report can also be a low-threshold alternative to fully automating the reports. This reduces administrative pressure and allows employees to focus on interpreting the reporting.<\/p>\n
